The Australian University of Theology (AUT) office is responsible for creating tasks and allocating them to the affiliated colleges on Tickit.
These tasks are set up in two ways based on the need for reporting.
a) Once-and-update tasks: No iteration is assigned for these tasks. The 065- Annual Self-assurance review encourages colleges to go through these tasks to check if the provided documents are current and up to date. Refer to the AUT Affiliated Colleges Annual Self-Review Handbook for more details on how to complete the task.
b) Annual tasks: These tasks have set iterations.
Actioning a task:
You will receive Tickit notifications via email when a task is nearing its due date. There are two ways of accessing the tasks on Tickit.
(i)You can see the tasks that require action on the home page under the “My Actions” list. If the task is overdue there will be a green clock against the task. You can click the "Action" button that will take you to the Task Details page.
(ii) Another way to access the task is to search for the task on the task module. Using the three-digit reference number associated with the task (See Table 2) is highly recommended to perform a search since it is unique to every task.
Once you click on the task it will take you to the page where you can see “View results”. When you click on the “View Results” tab it will open a page to Action.
Recording the Result Status for the task:
Choose an appropriate Result status from the drop-down box for the task: “In Progress” or “This task is Compliant” as shown below. You can enter your comments under “Result Notes” and attach evidence. Once complete click the “Save” tab.
If the task is marked as "In Progress", you can reopen the task and resume the necessary action. After completion, the Tickit homepage will be refreshed, and the My Actions list will show a green tick indicating that the task is complete.
How to make changes to a completed task:
In a later stage, if you wish to provide updated information for a task you can do this by going to the task and repeating the steps of opening the task and then adding evidence document. You can also change the Task result if, for example, you need to change the result from Compliant to In Progress by clicking on the “Change task result”. This will generate a pop-up message with the question: "Why is the Task result being changed?". Kindly enter the reason why the result is being changed and “Save” the entry. This will take you back to the Task Results screen where you can make the necessary changes.
